Tsukuba City Future Co-Creation Project Personal Information Handling Notice

(hereinafter referred to as the “Company”) handles personal information and other user information as follows regarding the Japanese language learning service “つうじるにほんご (Tsujiru Nihongo)” (hereinafter referred to as the “Service”) provided by the Tsukuba City Future Co-Creation Project. 1. Information to be obtained

Our company will acquire the following information to the extent necessary for the operation of this project.

1. Application information
   • Name, email address, phone number
   • Relationship with Tsukuba City, school/company/organization name, number of users
   • Language used on a daily basis and other information entered on the application form
2. Questionnaire information
   • JLPT Passing grade, Japanese learning history, frequency of speaking Japanese
   • Situations in which Japanese is used, self-evaluation, learning goals, and expected number of days of usage.
   • Answers to questionnaires before and after use, free description
3. Usage information for this service
   • Learning history, operation history, usage date and time, usage status
   • Audio/recording data and analysis results for pronunciation practice, etc.
4. Technical information
   • IP address, information regarding terminals and browsers, cookies, access logs, and other information necessary for the safe provision of this service.

2. Purpose of use

The acquired information will be used for the following purposes.

1. Acceptance of usage applications, identity verification, issuance of license certificates, and account management
2. Provision of this service, pronunciation analysis, display of learning results, and user support
3. Communication regarding this project, response to inquiries, and notification of important matters
4. Analysis of changes before and after use, usage status, and effects of this project
5. Improve the quality of this service, improve teaching materials and functions, and consider introducing it to local governments in the future
6. Preventing unauthorized use, responding to failures, and ensuring information security
7. Creation and use of statistical information that does not identify individuals

3. Provision to Tsukuba City and CASIO COMPUTER CO., LTD.

We will only provide aggregated results or statistical information that cannot identify specific individuals to Tsukuba City and CASIO COMPUTER CO., LTD. for the purpose of evaluating the implementation status of this project, verifying its effectiveness, and considering future implementation.

Names, e-mail addresses, telephone numbers, individual survey responses, individual voice/recorded data, and other information that can identify specific individuals will not be provided to Tsukuba City or CASIO COMPUTER CO., LTD. unless required by law.

4. Outsourcing and use of external services

Our company may outsource application forms, email distribution, data storage, voice analysis, operation of this service, and other operations to external companies to the extent necessary. Use Jotform for the application form.

We will appropriately select, contract with, and supervise outsourcees, and require necessary safety management measures from our outsourcees.

5. Storage period

1. The application information and pre-use questionnaire information on Jotform will be deleted or processed so that individuals cannot be identified within three months after the end of this project. However, this excludes cases where preservation is required based on laws and regulations.
2. There is no fixed retention period for audio/recording data and its analysis results, and the data will be retained only for the period necessary to achieve the purpose of use set forth in Section 2. If there is no longer a reasonable need to retain the information in relation to the purpose of use, the information will be deleted or processed into a state in which individuals cannot be identified without delay.
3. Other information will be retained for the period necessary for purposes of use, contractual relationships, legal retention obligations, and response to inquiries, and will be deleted or erased in an appropriate manner after it is no longer needed.

6. Safety management

In order to prevent unauthorized access, leakage, loss, damage, and falsification of acquired information, we will take necessary and appropriate safety management measures such as access control, authentication, protection during communication and storage, log management, and supervision of outsourced parties.

7. Disclosure, correction, suspension of use, deletion, etc.

Users may request notification of the purpose of use, disclosure, correction, addition, deletion, suspension of use, erasure, or suspension of provision to third parties of their personal data held by the Company, in accordance with laws and regulations and procedures prescribed by the Company.

8. Changes to this Notice

If we make changes to this Notice, we will notify you of the changes and their effective date through a form, the Service, our website, email, or other appropriate means. If the purpose of use is to be changed beyond the reasonable expectations of the person, the necessary procedures will be taken again in accordance with laws and regulations.

9. Translation and authentic text

Translations of this notice are provided to aid your understanding. If there is a discrepancy or question of interpretation between the translation and the Japanese version, the Japanese version will be considered the authentic text. However, we will check and manage the translated version to ensure that the content is substantially the same as the Japanese version.
